How to use Filters in Campaigns & Flows
Using Filters in ToolDesk
Filters are a powerful feature in ToolDesk that help you target specific clients and automate your marketing communications. This guide explains where and how to use filters effectively within the platform.
Where to Use Filters
Filters can be utilized in two main areas of ToolDesk:
- Campaign Builder: Use filters to create targeted audience lists for your campaigns
- Automation Flows: Apply filters to control who receives automated communications
Campaign Filters
When building a campaign, you can filter data from four main categories that sync in real-time with Jobber:
- Client data
- Quote data
- Job data
- Invoice data
Creating Campaign Filters
- Navigate to the campaign builder
- Click the “Filter” button to access filtering options
- Select your data category
- Choose your filtering rules
- Stack multiple filters to create precise audience segments
Common Filter Examples
Client-based Filters:
- Filter by client tags (e.g., “marketing” or “no-marketing”)
- Filter by location (postal code or city)
- Filter by client attributes
Quote-based Filters:
- Filter by quote status (e.g., “awaiting response”)
- Combine with client filters for more targeted campaigns
Job-based Filters:
- Filter by time since last job (e.g., clients not served in last 180 days)
- Filter by job status or type
Invoice-based Filters:
- Filter by Invoice status or amount
Flow Filters
When setting up automation flows, filters help you control who receives automated communications:
- Create a new flow
- Set up filter criteria in the flow settings
- Define exclusion rules (e.g., exclude clients tagged as “no marketing”)
Best Practices
- Match tag capitalization exactly as it appears in Jobber
- Test your filters before sending campaigns
- Start with broader filters and narrow down as needed
- Use multiple filters to create highly targeted segments
Example Use Cases
- Re-engagement Campaign:
- Filter: Job data > Last job date > Greater than or equal to 180 days
- Target clients you haven’t served recently
- Quote Follow-up:
- Filter: Quote status = Awaiting response
- Filter: Client tags ≠ no marketing
- Automate follow-ups for pending quotes
- Location-based Marketing:
- Filter: Client postal code = [specific code]
- Filter: Client tags = marketing
- Target specific geographic areas
